Unique opportunity: Office Manager/PA
For a fast growing award winning design company
This is an exciting opportunity to join a unique award winning rug design business based in NW London. The office is small the company is rapidly growing and needs a studio manager to keep pace with the expansion into new markets and products. 2014 promises to be a big year so if you are ambitious, looking for a challenge and want to work in a fast paced start-up environment please get in touch.
The ideal candidate will be a super organised self-starter with a warm and friendly personality. The role covers supporting the founder in all aspects of the business with at times minimum supervision. The job involves administrative activities and facilitating the smooth and efficient running of the office including but not limited to:
– Working with Social Media
– Creating e-mail newsletters
– Developing, updating and segmenting data base
– Dealing with email sales enquires by email and phone
– Diary management for founder
– Drafting letters and email.
– Saving incoming attachment and filing on the server
– Maintaining a clear system on the file server
– Creating business systems
– Arranging office and meetings:
– Creating agenda, writing reports and minute-taking
– Answering phones
– Arranging local and international travel
– Ordering stationery
– Formating documents
– Managing office contracts
– Tracking office costs
– Backing-up the email and file server
– Trouble shooting with our computer support
– Keeping track of orders and customer relations
– Preparing paperwork for shipping of orders
– Following customer care follow up procedure
– Stock control
– Booking couriers
– Ad hoc research as required
– Greeting guests
– Dealing with press enquires
– Tea/coffee making
Essential qualities:
- Minimum of two years experience in an administrative role
- Excellent verbal and written communication skills (English as first language or a fluent and clear speaker)
- Highly organised and excellent time management
- Reliable and punctual and well presented
- Planning and Organisational skills
- Attention to detail
- Multi-tasker
- Able to work under pressure to tight deadlines
- Proactive and confident
- Advanced IT skills – particularly with apple mac – proficiency in Microsoft Office and Adobe CS5 ideal
- Positive attitude and strong aptitude for learning and best practice
- Ability to work and collaborate with others, and to work with little/ no supervision
- Diplomatic/Discretion
